Required documents for inviting guest researchers

Contract for a Guest Stay

A guest researcher stay at the Ohm requires a contract between them and university. 

  • Please use the document that is available in myOhm titled “Vertrag Gastaufenthalt DE”.
  • An English version of the contract is also available in myOhm: “Vertrag Gastaufenthalt - Contract for a Guest Stay”. Please note that only the German version is legally binding.

Invitation

It is important that guest researchers are formally invited to come to our university for their stay. You should create a letter to officially invite your guest. This invitation will be useful for a few specific reasons:

  • Formal confirmation of the invitation and the planned duration of stay
  • Describing the purpose of the stay (e.g. research, academic instruction, cooperation)
  • Describing important information like organisational details, financial arrangements, and contact people
  • Documentation for the visa application, as authorities usually require an official invitation

Hosting agreement

It will usually be necessary to have an “Aufnahmevereinbarung / Hosting Agreement” for guest researchers who are from outside the EU. This document will usually be required for applying for a visa and must be signed by the Vice President for International Affairs. A template is available under this link:

Insurance

The guest contract stipulates that guest researchers must have valid health insurance and private liability insurance cover for the entire duration of their stay at the Technische Hochschule Nürnberg.

Liability insurance is particularly important as it protects against financial risks that may arise from unintentional damage to third parties - especially when working in a laboratory or using technical equipment. This means guests are covered in the event of an accident during their research activities.

There are insurance products that combine multiple areas of cover, for example, health, accident, and liability insurance in one package. An example is the DAAD collective insurance, that is designed specifically for international researchers and guests at academic institutions.
